Virtual Assistant

We are looking for someone to support the CEO and Marketing Manager, and assist with daily operations at Rachael Bodie Coaching LLC. This includes managing schedules and communications, coordinating meetings, research, travel, and more. This is a highly strategic position, where the ability to anticipate needs with forward thinking and working with a sense of purpose and urgency is a must. 

This position is for full-time working remotely.  

Responsibilities include:

  • Project & Calendar Management:  Understanding all key dates, commitments, and complexities of the CEO’s calendar. Scheduling meetings, appointments, and business & personal travel, as well coordinating calendars and mapping out timelines for launch planning. 
  • Email Management & Communication: Communicate internally and externally on behalf of the CEO - must have the ability to relay the CEO’s vision and mission with all correspondence.
  • Event Coordination: Vendor selection, coordinating details for live events, travel purchases and itinerary planning. Catering arrangements as needed. 
  • Administrative tasks: including scheduling emails, e-file management, business reports and updating tracking documents
  • Personal and professional task management: to include items such as research, errands, shopping, purchasing gifts, etc.

We are looking for someone with these characteristics below:

  • Highly organized, detailed oriented, and Tech Savvy is a must
  • Problem-solve proactively to eliminate as many distraction as possible by handling day-to-day business tasks
  • Coachable, Resourceful and love to learn

Qualifications & Requirements

  • 1-2 years customer service, project management or administrative experience
  • Must have the ability to drive & travel as needed
  • Have a smartphone, computer and access to a high speed connection
  • Familiarity with Google G Suite: Docs, Drive, Sheets, etc.
  • Experience with Kajabi a plus
